Data processing in the context of our association work

Membership Management

Membership data (surname, first name, street, house number, zip code, city, birthday, birthday, e-mail, telephone number, mobile phone number) are processed by the respective functionaries of our association only for the fulfilment of tasks assigned to them. In detail, this means:

  • If the board requires membership data to carry out its tasks, it may access all the membership data required for this purpose. This includes, in particular, sending annual reports, donation receipts and invitations to events.
  • The treasurer processes the membership data that is necessary for the collection of membership fees, the auditor processes the membership data that is relevant for the cash audit. This is first name, last name, postal address and bank details with payment data and, if applicable, access to the direct debit procedure approval including signature, provided that the member has issued a direct debit mandate to the association.
  • The association's office processes the membership data for membership administration and support.

The purpose for the processing of the membership data is the pursuit of the purpose and administration of the association. The legal basis is association membership (Article 6 (1) b) GDPR).

The current membership data will be stored for the duration of the membership and for one year thereafter.

Photos at events

Photos of our association's activities are published on our website for the purpose of external presentation.

The legal basis for the publication of the following photos of adults on our website is the legitimate interest of our association described below in accordance with Article 6 (1) sentence 1 f) GDPR:

  • Team photos due to our legitimate interest in informing about the club's events (here: the team line-up),
  • with reference to the game or the event due to our legitimate interest in reporting on the (sporting) events,
  • Photos of the audience that attended the event or photos in which the people appear only as an accessory, due to our legitimate interest in reporting on the event and its success.

You have the option to object to the use of such a photo in which you can be seen in accordance with Article 21(1) of the GDPR. The association will check whether there are compelling legitimate grounds for the processing that outweigh your interests, rights and freedoms. If not, the corresponding photo will be deleted.

We will only publish other photos in which an adult person (club member or from the audience) is the focus or only this person has been photographed with the consent of this person (Article 6 (1) sentence 1 a) GDPR). This consent can be revoked at any time for the future.

Rights of data subjects

If we process your personal data, you have the following rights as a data subject:

  • a right to information about the processed data and to have a copy,
  • a right to rectification if we process incorrect data about you,
  • a right to erasure, unless exceptions still apply as to why we still store the data, such as retention obligations or statutes of limitation
  • a right to restriction of processing,
  • a right to revoke consent to data processing at any time,
  • a right to object to processing carried out in the public interest or in the case of legitimate interest,
  • a right to data portability,
  • a right to lodge a complaint with a data protection supervisory authority if you believe that we are not processing your data properly.
  • The State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia is responsible for our association. If you are in another federal state or not in Germany, you can also contact the data protection authority there.
